Berlin, 22.05.2019 - With immediate effect, a new app certification allows the legally watertight recording of receipts with mobile devices such as smartphones or tablets. The consulting services of Francotyp-Postalia (FP), expert in the secure mailing business and secure digital communication processes, were the decisive driving force behind what is to date a unique certification.

No more archived receipts in hard copy

FP successfully supported the manufacturer 2KS Cloud Services GmbH in getting this legally watertight scanning process ready for certification in its app 'trebono'. Receipts scanned in using the 'trebono' app are subject to the strict technical directive on legally watertight replacement scanning (known as TR-RESISCAN), published by the German Federal Office for Information Security (BSI). Documents such as purchase receipts can now be scanned in and digitally stored using the app, and have unassailable evidential value. The great advantage of this is that receipts scanned and archived in compliance with TR-RESISCAN no longer need to be retained in hard copy. 'With the successful certification another milestone in legally watertight digitalisation has been reached,' confirms Jawad Ahmad of BSI.

Convincing consulting services from FP

The BSI had previously only certified local scanning processes. This meant every document had to be scanned in using stationary devices. Together with 2KS Cloud Services and the certification office for TR-RESISCAN at the BSI, FP worked on the certification of a scanning process that would also be legally watertight via mobile devices and cloud systems.

'It was only the long-standing expertise of FP that enabled us to structure and document the secure receipt recording process via our app in such a way that we could receive a BSI certificate in record time. This is a big step forwards for us and for our customers,' enthuses Jörg Klingler, general manager of 2KS Cloud Services. Stephan Vanberg, CEO of FP Mentana-Claimsoft, an FP company, sees this success as opening up opportunities for other companies. 'We would like to apply our consulting services in future to supporting other companies, allowing them to benefit from our experience in acquiring this certification,' says Vanberg.

No manipulation possible

The 'trebono' app from 2KS Cloud Services GmbH is an excellent example. The 'trebono Cloud Services' scanning process offers its users the certified process for replacement scanning. A scanned receipt is marked with a checksum in the app, and sent to the cloud. A process can be preselected to electronically sign the receipt for purposes of integrity assurance. This further increases security. In both methods, the receipt is checked for changes using the checksum, and only then is it passed on for archiving and further processing.

The app ensures that no manipulation of the receipts is possible between the time of recording with the smartphone and final storage in the cloud. The digitally saved documents thus have the same evidential value as original documents. 'Hard copy is yesterday. With immediate effect, companies, health insurers and public authorities can scan in their receipts using the app and store them in purely digital format. Our aim is now to support other companies in obtaining approvals for this procedure,' says Vanberg.
